Privacy Policy & Communications Terms
Effective: August 26, 2026 · Last updated: August 26, 2026
1. Who we are
NUGS HVAC ("NUGS," "we," "us," or "our") provides heating, cooling, boiler, refrigeration, and related mechanical services. We are a service-area business — we come to you, and we do not operate a public storefront or walk-in location.
| Business name | NUGS HVAC |
|---|---|
| Location | Omaha, Nebraska, United States |
| Service area | Omaha metro and southwest Iowa — including Omaha, Council Bluffs, Bellevue, Papillion, La Vista, Gretna, and Elkhorn |
| Phone | (402) 580‑6289 |
| nugshvac@outlook.com | |
| Website | nugshvac.com |
This policy covers information we collect through our website, by phone, by text message, by email, and in the course of providing service at your property.
2. Phone calls and our automated assistant
Some calls to NUGS HVAC are answered by an automated virtual assistant rather than a person. The assistant can take your name and contact details, understand what you need, answer common questions, and schedule or route your request. You can ask to speak with a person at any point during the call, and urgent or emergency calls are routed to our team.
When the automated assistant handles a call, the call may be recorded and converted to a written transcript so we have an accurate record of what you asked for and can follow up correctly. Recordings and transcripts are treated the same as any other customer record under this policy — see Section 6 and Section 7.
If you would prefer not to speak with the automated assistant or not to have your call recorded, tell us and we will take your information another way — you can also reach us by email at nugshvac@outlook.com or through the request form on our website.
3. Text messaging (SMS) terms
How you opt in
We send text messages only to people who have given us their mobile number and agreed to be contacted about their service — for example by giving us your number when you call or book, by submitting a request form on this website, by texting us first, or by asking us in writing to text you. Consent to receive text messages is not a condition of purchasing any product or service from us.
What we send and how often
Text messages from NUGS HVAC relate to your service with us. That includes:
- Appointment confirmations, reminders, and schedule changes
- "On my way" and technician arrival notifications
- Quotes, estimates, and approval requests
- Invoices, payment reminders, and receipts
- Follow-up on completed work and service questions
- Occasional maintenance reminders or service offers, if you have agreed to receive them
Message frequency varies and depends on your activity with us — most customers receive messages only around an active job. Message and data rates may apply. Message frequency and delivery depend on your mobile carrier, and carriers are not liable for delayed or undelivered messages.
How to stop messages
You can opt out at any time by replying STOP to any text message from us. We will send one confirmation that you have been unsubscribed, and you will receive no further texts unless you opt back in. You may opt back in at any time by replying START or by asking us directly.
How to get help
Reply HELP to any message for assistance, or contact us at (402) 580‑6289 or nugshvac@outlook.com.
We do not sell your information, and we never share mobile phone numbers or SMS consent with third parties or affiliates for their own marketing purposes. Mobile information collected for text messaging is used only to deliver the messages described above, and is shared only with the service providers that help us send them, as described in Section 6.
4. Information we collect
We collect only what we need to quote, schedule, perform, invoice, and stand behind our work.
- Contact information — your name, phone number, email address, and the service address or property where work is performed. For commercial customers this may include a company name and a billing contact.
- Service information — what you asked us to do, notes and measurements from the visit, equipment details such as make, model, serial number, and install date, photos of the work or the equipment, technician notes, quotes, job records, and warranty details.
- Billing information — invoices, amounts, and payment status. We do not store full payment card numbers or bank account numbers on our own systems. Card and bank payments are handled by our payment processor, which collects those details directly.
- Communications — emails, text messages, website form submissions, and call recordings or transcripts as described in Section 2.
- Basic website information — standard server and browser data such as IP address, browser type, and pages visited, collected by our hosting provider for security and reliability. Our site does not use advertising or cross-site tracking cookies. Our web pages load fonts from Google Fonts, which receives a request from your browser in order to serve them.
5. How we use your information
- To schedule, dispatch, and perform the work you asked for
- To reach you about your job — confirmations, reminders, arrival notices, and follow-up
- To prepare quotes and estimates, and to invoice and collect payment
- To keep an accurate service history for your equipment, so future repairs and warranty claims are handled correctly
- To answer questions and provide support, including warranty service
- To send maintenance reminders or service offers, where you have agreed to receive them
- To keep required business, tax, and insurance records, and to comply with the law
- To protect our systems, prevent fraud, and establish or defend legal claims
We do not use your information for automated decisions that produce legal or similarly significant effects about you.
6. Who we share information with
We do not sell your personal information, and we do not rent or trade it. We share it only in these situations:
- Service providers who help us operate. This includes our field service management platform (Jobber, which holds our customer records, scheduling, quotes, and invoices), our payment processor, our phone and text messaging providers, our email provider, our website host, and our bookkeeping and accounting providers. These providers may use your information only to perform services for us.
- Manufacturers and warranty administrators, where registering equipment or making a warranty claim requires it.
- Subcontractors or trade partners, where a job requires work outside our scope and only to the extent needed to complete it.
- Property owners or managers, where they arranged and are paying for the work at your unit or building.
- Legal and safety — when required by law, subpoena, or legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of NUGS HVAC, our customers, or the public.
- Business transfer — if our business is sold or reorganized, customer records may transfer as part of that transaction. This policy would continue to apply to the transferred information.
As stated in Section 3, mobile phone numbers and text messaging consent are never shared with third parties or affiliates for their own marketing purposes.
7. How we protect your information
We keep customer records in access-controlled business systems rather than on paper or personal devices, limit access to the people who need it to do their jobs, and require our providers to maintain their own safeguards. Payment card and bank details are handled by our payment processor and are not stored on our systems.
No method of transmitting or storing information is completely secure, and we cannot guarantee absolute security. If you believe your information has been compromised, contact us at nugshvac@outlook.com right away.
8. Your choices and rights
- Text messages — reply STOP to opt out at any time. See Section 3.
- Marketing email — use the unsubscribe link in the message, or ask us. You will still receive messages about active jobs, quotes, and invoices.
- Automated call answering — ask for a person, or contact us by email or through the website form instead.
- Access and correction — ask us what customer information we hold about you, and we will correct anything inaccurate.
- Deletion — ask us to delete your information and we will, except where we are required to keep it for tax, warranty, insurance, safety, or legal reasons.
To make any of these requests, contact us at nugshvac@outlook.com or (402) 580‑6289. We may need to verify your identity before acting on a request. We will not deny you service or charge you a different price for exercising these rights.
9. How long we keep information
We keep customer and job records for as long as you are a customer and afterward for as long as we need them to honor warranties, resolve disputes, and meet tax, insurance, and legal recordkeeping requirements. Equipment service history is generally kept long-term, because it is what lets us diagnose and warranty work on a system years later. Call recordings and transcripts are kept only as long as needed for the purpose described in Section 2.
10. Children, other sites, and changes
Children. Our services are directed to property owners, managers, and businesses. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
Other sites. Our website may link to sites we do not control. We are not responsible for their privacy practices, and we encourage you to read their policies.
Changes. We may update this policy as our business or the law changes. The effective date at the top of this page shows when it was last revised. Material changes will be posted here, and continuing to use our services after a change means you accept the updated policy.
